The Client: King Edward VI Grammar School, Chelmsford, Essex

KEGS is one of England’s leading state grammar schools, with a history dating back to its foundation in 1551. It has a reputation built on outstanding examination results, equality and openness to students and a desire to support young people in developing their personal talents and interests. Key Issues:

A variety of printers were already in use across the school, all from different manufacturers. Ordering consumables was complex as a number of suppliers were involved and costs were difficult to control.

How ASL helped:

The school had a large network of printers in place but wanted to implement a smaller range from one single manufacturer. ASL supplied a Ricoh fleet of 39 printers and a range of high to mid volume copiers. A management system was also added, where toners could be monitored remotely and new consumables ordered, as and when required.

  • The new network of printers and copiers provides a ‘one stop shop’ for all users

  • Huge financial savings for the school

We chose ASL due to their professional advice and competitive rates. We have developed a long-standing relationship with their Sales and Service teams and are delighted with the benefits provided by the additional devices they have supplied.

Hastingsbury Business and Enterprise College (HBEC)

The Client: Hastingsbury Business and Enterprise College

Hastingsbury Business and Enterprise College (HBEC) is a co-educational upper school and specialist college for students aged 13-18. Based in Kempston in Bedfordshire they have a proud reputation built upon “Finding Talent in Everyone.”

ASL’s managed print service (MPS) team were invited to coordinate an extensive print audit of Hastingsbury’s sites where existing volumes, deployment and spend were mapped. A qualitative analysis was also conducted to help continue to bespoke a scoping document for HBEC’s needs.

How ASL helped:

ASL’s MPS team built a multi-vendor technology platform which would introduce state of the art technology as well as systems to enable cost reduction. This solution delivered a combination of high volume colour printers and mono/colour MFD’s from multiple manufacturers and Papercut software, which delivered the “follow me print”

solution required by the college. The deployment was handled by ASL’s own project management team which organised meetings with key staff to ensure the project was delivered within the committed timescales and budget.

  • The software provides extensive management information reports to provide data on the all print output from the device and users

  • A proactive service software solution has also been deployed to automate toner, meter readings and service

  • Improved technology solutions implemented that also delivered desired cost savings

After looking at the market for best value and service, ASL were our chosen provider. With ASL’s professional approach, we were able to measure all aspects of our document workflow and then rely on their expertise to propose the correct solution for our needs. I can confidently recommend ASL as a solid and reliable supplier

ASL008 BMAT Lo-Res

The Client: Bedfordshire East Multi Academy Trust

Bedfordshire East Multi Academy Trust (BEMAT) is an alliance between Gothic Mede Academy, Langford Academy, Gravenhurst Academy, Etonbury Academy, Robert Bloomfield Academy and Samuel Whitbread Academy, and is committed to collegiate educational provision across the local community. The organisation takes a collective responsibility for the success of all children through the delivery of a commonly designed curriculum from ages 0 to 19. More information at

With three initial locations and a number of IT devices being used within each academy, BEMAT had no central support agreement or provision for maintaining their existing range of expensive stand-alone printers and networked copiers. As a consequence, they were experiencing high levels of waste when print jobs were never collected from the device and facilities to track, control or restrict print usage from staff or pupils ineffective in each of the three sites.

How ASL helped:

ASL conducted a full print audit at each site to help individual academies to understand their true print volume and associated costs. We were then able to recommend a ‘best of breed’ managed print solution incorporating “follow me print” as well as hardware from Kyocera & Lexmark and software from Papercut. The installation roll-out began in January 2014 over a 5 week period with additional devices to meet new requirements installed during October 2014.

  • BEMAT now has a centralised contact for their copy and print equipment and support needs

  • More cost effective and reliable print equipment is accessible across the three key sites

  • Cutting edge technology from Kyocera and Lexmark

  • Each academy received training during the installation by an ASL designated product trainer with drop-in workshops also made available on each site

As with any education budget cost reduction is always a high priority and our levels of expenditure and wastage on printing were high. ASL’s software and hardware solutions have allowed BEMAT to track and manage print activity, saving money and increasing efficiency. ASL’s sales and service support is fantastic and they have gone to great efforts to understand our needs and find us the very best solution for our print needs.
